These Terms and Conditions set out the rules and expectations for using our services and participating in our tours. By making a booking with us, you acknowledge that you have read, understood, and agreed to be bound by these terms. They are designed to ensure a safe, transparent, and enjoyable experience for all our clients. We encourage you to review them carefully before confirming your reservation.

1. When These Terms & Condition Apply

 

These Terms & Conditions govern the relationship between you (the Client) and the company Stunning Kilimanjaro. They apply in the following circumstances:

  • When you book a trip directly with us;

  • When you book through our authorized partners acting as consulting representatives;

  • When booking a trip with us directly or via our partners, which include travel agencies, online marketplaces, and independent agents, both parties automatically agree to be bound by these Terms & Conditions.

Please note that these Terms & Conditions define your rights and obligations while booking and participating in our tours in Tanzania.

 
2. Our Warranties & Representations

 

We represent and warrant the following:

  • We possess all required licenses and permits to organize and operate Kilimanjaro climbs and wildlife safaris in Tanzania;

  • All our Kilimanjaro guides, safari driver-guides, and consultants are professionally trained and certified;

  • All marketing and promotional content we use is truthful and accurate — we do not exaggerate or misrepresent our services;

  • Your trip with Stunning Kilimanjaro will benefit local communities in Tanzania. We pay above-average salaries, follow strict environmental practices, and adhere to “leave-no-trace” principles to promote sustainable tourism and protect Tanzania’s natural heritage.

 

3. Your Personal Information

 

To organize your expedition, we require certain personal details — including your full name, age, nationality, passport data, dietary preferences, and medical information. Some of this data will be shared with Tanzanian wildlife authorities to obtain entry permits, and with accommodation providers to ensure your comfort. We will not share your information with third parties unnecessarily.

 

4. Booking & Payment Process

 

The booking process begins when you contact one of our travel consultants by phone or email. Your dedicated consultant will manage all communication, planning, and logistics. Once all details are agreed, we will issue an invoice allowing you to pay a deposit and confirm your booking.

Your adventure is confirmed once your deposit reaches our account, which your consultant will acknowledge. The deposit amount and payment deadline depend on your tour type and date and will be specified by your consultant.

Full payment is due 30 days before your tour start date unless another arrangement is agreed in writing. All of our travel packages must be paid in full before your arrival, regardless of the timing.

Timely payments are essential as they cover hotels and other services in Tanzania, which are often prepaid. Failure to pay on time, without prior notice or agreement, may result in cancellation. Deposits may be forfeited under our cancellation policy.

All transaction-related charges are your responsibility. When sending wire transfers, you must cover all bank fees for both sending and receiving banks. A 3.5% surcharge applies to all credit card transactions.

If the payment is incomplete, we will request the remaining balance upon your arrival in Tanzania. Payment can be made in cash in either USD or TZS, using the applicable rate.​​

 

​​Participation of Minors

  • Only adults (18+) may book wildlife tours with us. Minors (under 18) may only be booked by a parent, guardian, or legal custodian, who accepts these Terms, including risks and limits of our liability, on the minor's behalf;

  • Minors must always be accompanied and supervised by an adult Client. The adult assumes responsibility for the minor’s behavior and any resulting damage. We do not offer child care or supervision services;

  • All bookings for minors require our approval. The accompanying adult is responsible for obtaining travel permits and legal documents. We are not liable for denied entry due to missing or invalid documentation.

 

​Third-Party Bookings

If you are a group leader, an agent, or a travel professional booking on behalf of others, you are the main contact person. In this case you are responsible for:

  • Inform all participants about these terms and conditions. Upon agreement, we assume that all participants accept the terms and the contents of the package.

  • Completing all required payments fully and on time;

  • Sharing all relevant details about the trip and the participants promptly. For any changes in itinerary or travel dates, you must inform everyone and confirm their consent;

  • Providing accurate information about each participant of the tour. It’s your responsibilty to collect and verify this personal data in a timely and correct manner. We are not liable for errors or omissions in group data provided by you.

If you cannot assume this responsibility, each participant must contact and book with us individually.​


5. Prices

 

Once we confirm your booking, the price is fixed and will not change, except in the rare event of an increase in park fees, taxes, or other tourism-related charges by the Tanzanian government. If that occurs, we will share an official notice with you.

In such a case, you will have two options:

  • To cancel your tour and receive a refund, following our cancellation policy.

  • To accept the revised price and pay the additional amount to us.

 

6. Changes to the Itinerary


Changes by the Client

  • You may change your itinerary free of charge, as long as it doesn’t incur extra costs on our end. Any additional costs must be covered by you;

  • If you end the tour after it has begun — voluntarily or not — you must cover any extra costs caused by your departure. These may include, but aren’t limited to, transport and lodging expenses;

  • No refunds will be given for missed services, meals, or sightseeing due to your own choices or actions.


Changes by Stunning Kilimanjaro

  • We aim to run your tour as planned, but conditions (e.g. bad weather) may require changes. These cases are rare, but possible, and we will inform you as soon as we can.

 

Changes because of Third Parties

  • We are not liable for delays, disruptions, or losses beyond our control. These may include third-party actions, flight delays, or force majeure events;

  • You — or your insurer — must cover any resulting expenses, including extra transport or lodging costs.

 

7. Changes to Travel Dates

 

If you wish to change your travel dates after payment, you must inform us at least 60 days before the original tour start. The new dates must fall within 8 months of the original ones.

Please note: Tanzanian domestic airlines do not allow flight rescheduling. Hotels and lodges may charge penalties or raise prices based on season or availability. You are responsible for these additional costs yourself.

 

8. Cancellations

 

​​Cancellation by the Client

Lodges and airlines charge penalty fees upon cancellation. To cover these, the following amounts will be deducted from your deposit:

  • 100 USD per person is non-refundable, regardless of cancellation date, but may be transferred to new dates;

  • 10% fee if canceled more than 90 days before the tour;

  • 30% fee if canceled 60–89 days before the tour;

  • 60% fee if canceled 30–59 days before the tour;

  • 80% fee if canceled 8–29 days before the tour;

  • No refund if canceled 0–7 days before the tour.

Note: if lodges or airlines charge more than the percentages stated above, your non-refundable amount will be increased proportionally. Bank fees for refund transfers will be deducted from the refund.

If the tour is rescheduled instead of canceled, lodges and airlines may allow a no-penalty deferral. If granted, we’ll do our best to move your full itinerary unchanged. However, such decisions are solely up to the service providers, who may still charge penalties despite the reason for cancellation.

We strongly advise getting travel insurance that covers cancellations. In case of illness, missed flights or other events that prevent travelling, you can claim costs from your insurer. We will provide proof of your incurred expenses.

 

Cancellation by Stunning Kilimanjaro

If we cancel your tour for any reason, we will refund 100% of your payments to us.

However, we may cancel your participation without refund in the following cases:

  • If the medical information you gave us proves to be false, inaccurate, or incomplete;

  • If your health deteriorates during the trip, putting you or others at risk.

Any related costs are your responsibility.

 

9. Travel Documents & Entry to Tanzania

 

Travel Documents

You are responsible for ensuring your travel documents are complete. Your passport must be valid for at least six months beyond your entry into Tanzania. Also consider its validity for your return home. You need at least two blank pages for visas and stamps. Along with a valid passport, bring proof of vaccinations, insurance documents, and any relevant medical or personal documentation.

 

Visa

You will need a visa to enter Tanzania. The easiest and fastest way to apply is online through the official website of the Tanzania Immigration Department.

While we may share general visa advice, it should not be seen as complete or final. All visa and entry information on our website is for general reference only. We strive to keep it current, but advise you to contact the Embassy of Tanzania for official updates. Nothing on our site constitutes a guarantee or legal assurance.

All visa and entry-related costs are your responsibility. We are not liable if you are, however unlikely, denied entry into Tanzania or any other country en route. If denied entry for any reason, you accept that no refund or tour rescheduling is possible due to prepaid park fees and other costs were made upfront.

 

Travel Insurance

Travel insurance is mandatory for joining our tours.

Please note: insurance is not included in our travel packages.

Your insurance should cover emergency medical treatment, evacuation, repatriation, cancellation, curtailment, and other reasonable risks. If you plan to climb Mount Kilimanjaro, your insurance must include high-altitude trekking (up to 6,000 m / 19,858 ft) and helicopter evacuation

You are responsible for ensuring that your insurance provides adequate coverage and for informing your insurer of your travel plans and any related risks.

Should you need to use your insurance, it is your own responsibility to inform your provider and follow their reimbursement procedures. We will assist you up to a reasonable limit, but we cannot guarantee claim outcomes.

 

10. Fitness & Medical Information

 

Physical Fitness

It is your responsibility to determine if you are physically fit for a Kilimanjaro climb or wildlife adventure, and to assess your health condition. If requested, our consultants may offer advice, but we recommend consulting a qualified doctor if in doubt.

 

Medical Information

We may request specific medical details and ask you to complete our medical form. If you have any condition that could affect your ability to travel in remote or high-altitude areas of Tanzania, and pose a risk to yourself or others, a licensed physician may need to sign the form.

Should you fail to submit the signed form, this may lead to cancellation of your tour and the application of relevant fees, in accordance with our cancellation policy.

We may decline your participation if we believe your medical condition makes you unfit for the tour, e.g., serious physical or mental disorders posing a risk to you or others.

All medical data will be handled per clause “3. Your Personal Information” of these Terms and Conditions.

 

Cancellation

We may cancel your tour participation without a refund in the following cases:

  • If we find the medical information you provided to be false, incomplete, or inaccurate;

  • If your health conditions deteriorates during the tour, putting yourself or other participants at risk.

You must cover all related cancellation costs.

 

Medical or Dietary Requirements

If you have special medical or dietary needs, notify us at least 30 days before arrival in Tanzania. We will make every effort to accommodate your requests. Vegetarian, vegan, gluten-free, and regular meals are available. However, we are not liable for other unmet special needs. No refunds apply.

You also confirm understanding that certain services or facilities available in your home country may not be accessible in Tanzania.

 

Vaccinations

We offer general, non-medical information about required or recommended vaccinations for your visit to the United Republic of Tanzania.

 

11. Accommodations

 

Hotel Accommodations

Our travel packages may include overnight hotel stays before and after the tour, as outlined on our website and in the itinerary provided by your personal consultant. This is not mandatory. If your trip starts right after landing, there is no overnight stay included, and the itinerary begins immediately.

We choose suitable and comfortable hotels. However, if a hotel is fully booked, we will inform you promptly and suggest an alternative before confirming any part of your tour or making any payments.

 

You may request for a specific accommodation, but please note that we cannot guarantee its availability.

 

Kilimanjaro Accommodations

Our Kilimanjaro tours include shared tent accommodations (2 travelers per tent). You will share a tent with your companion or, if traveling alone, be matched with a same-sex traveler.

 

If you prefer a single tent, inform your consultant during booking. A single supplement applies. 

Please note: single tents are not allowed on Mount Meru and the Marangu route due to park regulations.

Accommodations for private tours is arranged individually with our consultants.

 

Safari Accommodations

Our safaris include stays in lodges and/or tented camps, as described in your itinerary.

 

If your preferred lodges are fully booked during your travel dates, we will inform you and suggest alternatives before confirming and paying for any accommodations.

 

Preferences for specific lodges/camps can be shared, but availability is not guaranteed.

If traveling with a group, you may request a group allocation. While we’ll do our best, group arrangements cannot be guaranteed as some lodges/camps only allow two travelers per unit.

 

Our Liability for Accommodations & Airlines

Some parts of your trip are subcontracted to accommodation providers and local air carriers. While we carefully select our partners, we do not control their performance and therefore cannot be held responsible for your experience with them.

Please also note that hotel and lodge stays are subject to their own terms and conditions. Likewise, airlines are governed by aviation conventions and Conditions of Carriage.

As such, we are not liable for issues arising from the actions of parties other than our company and our staff.

 

12. Equipment & Gear

 

While all accommodation gear is included in our Kilimanjaro packages, your personal clothing and climbing gear are not. You are responsible for bringing all necessary personal gear and equipment for your Kilimanjaro and/or safari adventure. Your consultant will advise you on what is required for the full expedition.

If you are missing certain items, you can rent all necessary gear from us. Please note that gear rental is not included in your tour price and extra charges apply.

Before starting your Kilimanjaro or Mount Meru climb, your consultant may ask to inspect your personal equipment.

 

13. Your Luggage & Valuables

 

We are not liable for any luggage that is lost, destroyed, or delayed by your airline or another transport provider that is not affiliated with our company.

If you booked a Kilimanjaro climb and your luggage, containing any climbing or hiking gear, is lost or delayed, we will provide the missing items from our rental store free of charge. However, this applies only to items you had in your luggage. Other items must be rented at regular cost.

We are not responsible for initiating contact with the airline or for tracking the status of your delayed or missing luggage. Additionally, we cannot be held accountable for arranging or handling the delivery of your baggage to your hotel once it arrives. Should your luggage be delivered after your arrival, any transportation costs from the airport to your accommodation will be your responsibility.

You are responsible for your own valuables, such as cash, electronics, jewelry, or any other  possessions or luggage during your tour. We will not be hold liable for lost, stolen, or damaged property.


14. Your Liability for Damaged
   or Destroyed Property

 

You will be charged if you intentionally damage or destroy our property—such as Stunning Kilimanjro tents, safari vehicles, rented expedition gear, hotel or lodge properties, or any other items provided by Stunning Kilimanjaro or their partners.

All compensation for damage or destruction must be settled in Tanzania before your return to your home country.

 

15. Money for Travel Expenses

 

You acknowledge that you are responsible for bringing sufficient funds to cover both regular and incidental travel expenses. These may include, but are not limited to, souvenirs, gratuities, meals not listed in the itinerary, alcoholic beverages, and other personal costs. We cannot be held responsible if you are unable to meet these expenses for any reason.

 

16. Authority of our Guides

   & the Laws of Tanzania


Guide's Instructions

It is mandatory to follow all safety instructions and rules provided by our guides. The chief guide’s decisions regarding itinerary, group management, goals, and all expedition-related matters during a Stunning Kilimanjaro tour are final.

If the chief guide believes your physical condition or behavior poses a risk to yourself or to others, they may require you to descend (with help from assistants and porters) or even return to Arusha—which ends your tour promptly.


Tanzanian Law

In the event of any disputes, the laws of the United Republic of Tanzania apply.

 

17. Acceptance of All Travelling Risk

 

You understand that our adventures may take place in remote areas (national parks, rural regions, etc.) where medical care may differ from your home country—or may be unavailable.

 

You also acknowledge that some tours involve health and safety risks (e.g. wildlife, altitude). You confirm that you’ve assessed these risks and accept full responsibility.

 

You release us from any claims arising from injury, loss, damage, or death resulting from the inherent risks of traveling in Tanzania.

 
18. Images & Marketing

 

You acknowledge that our staff or other guests may take photos, videos, or other media during the tour, which may include your image.

 

By joining, you grant us and our partners permission to use such media for marketing and promotion without compensation.

If you prefer not to be photographed or filmed, please inform our staff in advance.

19. Force Majeure

 

We are not liable for any event caused by force majeure. Such events includes, but are not limited to: natural disasters, acts of war or military conflicts, technical of mechanical failure, fires, power outages, civil unrest, labor strikes, government actions, political instability, mutinies, extreme weather conditions, or any other event beyond our control and not foreseeable.
